Privacy Policy

This Privacy Policy explains what data the Account Management application collects, why, and how it is handled. By using the application you acknowledge the practices described below.

1. What data we collect

Account info (name, email, role, monthly targets), every daily-log submission, pipeline deals, file attachments (proposals), notifications, audit-log events (logins, deal stage changes, etc.) and continuous GPS location data (latitude, longitude, accuracy, reverse-geocoded address) for users in the SALES_REP role.

2. Why we collect it

To run Mitsumi's internal sales-performance reporting, to enable management oversight of field visits, to compute KPIs and dashboards, and to maintain an audit trail of major actions for accountability.

3. Background tracking specifically

When a Sales Rep enables background tracking, the device captures GPS readings every ~2 minutes or every ~100m of movement (whichever first), including when the app is closed and the screen is locked. A persistent foreground-service notification is shown on Android while tracking is active. iOS shows a blue indicator when in background.

4. Where data lives

All data is stored in Mitsumi-controlled MongoDB Atlas infrastructure. Files (proposal PDFs/Excel) are uploaded to the same backend. Email delivery uses Resend. Maps + reverse-geocoding use Google Maps APIs.

5. Who can see your data

Only authenticated Mitsumi administrators have read access to the full dataset (live map, all daily logs, all deals, all audit events). Sales reps can only read their own data + the partners assigned to them.

6. How long we keep it

Account data is retained while your account is active. Daily logs, deals and audit events are retained for a minimum of three (3) years for tax/compliance. Raw GPS pings older than 30 days are aggregated and the raw rows pruned.

7. Your rights

You may request a copy of your stored personal data or its deletion at any time by emailing support@mitsumidistribution.com. Note that some logs may be retained where required by law or company policy.
